Onboard - W4 Not saving info

      Description

      Hello,

      There are 2 new employees who had incomplete W4's. The information for "Withholding Category" and "Total number of withholding allowances" are blank. Onboard tour shows that the tour was 100% completed. When viewing the form, these 2 fields are marked as mandatory fields.

      Employees:
      Craig Guenther (W4 was corrected by employer today)
      Michael Suttle (Employer is connecting with employee to update)

      Client is live and actively entering new employees so this fix is priority. Since we have other clients who will also be using Onboard, please be sure to correct for the module and not the client.

          Hi Veronica Blanco,

          On company LONG, at production, we have created a test employee, and updated the W4 in pre-board tour. Now, while managing this employee, I am able to see all the data entered by this employee. PFA screen shots. I am not able to reproduce this issue now. Please let us know if any specific scenario you are doing.

          It is not happening for all employees and I do not know the steps for each circumstance since the client is live. Is it possible to view the history of those mentioned to determine why this has happened? The employee went through the same flow as the other employees as far as I know.

          We have verified above mentioned employee 'Craig Guenther' from back end. There is no issue observed related to W4 data saving.
          Second employee 'Michael Suttle' do not exists. In addition to this, we also have added test employee, who has no issue related to W4 data saving.
          Now, Please let us know if any specific employee facing above given issue. Also, specify scenario in which this is happening, if any.

          My apologies. Michael Suttle was entered by the client as "William Suttle". The information for Craig Guenther was updated by client HR for reporting purposes after this issue was reported (not sure if you checked the form or the history). You can see the incomplete form for William Suttle. The tour still shows complete.

          I cannot report specific steps taken since this client is live and it is the employee completing these forms. Upon initial testing, I found that the appropriate fields are required so the issue is not that the form wasn't completed, it is that the form didn't save the data.

          Please let me know if there are any questions I can help answer to get this issue resolved. The client is live and continues to add new employees weekly.

          I have updated this ticket to highest priority. It has been a week since this issue was reported and the client is live in production. Without this and WT-8649 resolved, we will have to communicate to the client that they can no longer use the module and we would like to avoid this if at all possible.

          Please review both employee histories mentioned to help determine the root cause since they may have been updated by the client due to mandatory reporting to their accounting department.

          The client reported that they entered 5 new employees yesterday and 1 of them had the issue with the W4 not saving the information. The employee name is "Austin Whiteley". The client watched as the employee entered his information and the employee received the message "W4 Information Saved Successfully". The client watched as another new employee went through the onboarding process and his form saved.

          The client has updated Austin Whiteley's W4 because it was needed for accounting purposes and was able to save the information successfully. Please review the history on the form (or back end info) to determine root cause.

          I have checked from backend for all 3 employees. W4 entry is there.
          To reproduce this issue, lets add one test employee, complete his tours and validate few scenarios as per discussion with Hrishikesh.

          We have verified employee "Austin Whiteley" . Fields which are filled in W4 form are visible for this employee.
          We have confirmed same from Partner, Admin and EE Login as well as from backend.

          We have also tested all possible scenarios on one test employee on Production LONG company . Please find below testing status -

          • We verified whether W4 data is saving during Tour or not. We traverse back button or menu link and observed that changes on W4 form are saving properly.
          • We also verified whether W4 can be skipped by multiple clicks on continue button. We found that employee can not skip W4 and after saving W4, all data is getting saved.
          • Once employee completed the tours and reach to onboard module, changes done by employee in W4 forms are getting saved.
          • We also verified by Partner and Admin login that While managing employee, all W4 data entered in tour is visible

          Please refer to attached video (WT-8649_W4 issue.wrf) in which we have recorded that data is saved and visible in all logins.

          W4 form is saving properly at our end. we have not found any issue in it.

          Can you Please let us know exact scenario on which this issue occurred? because when we are looking at reported employee we can see W4 data is visible and saved.

          I am hereby sharing the case where system integrity is compromised.

          We expect that WHEN the tours are 100% complete THEN W-4 form MUST have all mandatory fields populated.

          I am adding two exhibits in this ticket from production. This was observed at around 3 PM PT on March 8, 2017.
          (1) TourComplete - it shows screenshot where you can see that employee William Suttle has completed both tours 100%
          (2) MandatoryMissing - it shows W4 form for William Suttle with one mandatory field missing.

          Clearly (1) and (2) contradict each other.

          This doesn't happen with all the users. We understand that development has access to history. Please investigate why it happened here.

          With the screenshots that you have shared, we verified the data in the database and figured out that the value for mandatory field on W4 form for ‘total number of withholding allowances that you are holding’ is entered as ‘0’ (zero).
          Reason behind not displaying the ‘0’ value in the mandatory field – Earlier the requirement was to display ‘blank field’ if the mandatory field is entered as ‘0’ while saving the specific form. This implementation was done couple of years back. Note that the data ‘0’ is getting saved in database, but is just not displayed on the screen.

          Correction – With the screens that you shared, we could identify this reason quickly and have provided a fix for this issue. Now even if the value is entered ‘0’ while saving the form, it will now be displayed as ‘0’ when you revisit the saved form. It will not display a blank mandatory field. This fix is deployed on LB today and will go on Stage and Production tomorrow. We will update the ticket accordingly.
