      Description

      Hello Satya

      Will you please explain what the process will be to move Onboard from stage to production?

      Amannda Johnson mentioned possibly needing a change log. If we are moving the entire module, just as we would a new client, why would a change log be needed?

            Hi Veronica,

            While moving the entire company from Stage to Production, no changes log is required, since it is first time go live for client. However after this for any changes either OE setup or module level changes move from stage to production, the changes log will be required.

            For Onboard module move, You can specify how many forms have been created, which Tours are required to be moved, do you need to move any employee data etc.

            Let me know in case you need more details.

            Hi Veronica Blanco,
            There are 29 forms and 3 tours to be created, some of the forms are complex which has has number of text fileds, logo images, links, eligibility settings etc. and some of them are compartively simple. Considering two hours each, we will need around = 58 hours (29 Forms * 2 hours) and 6 Hours (3 tours * 2 hours). In total we will need around 65 hours to move the forms manually from stage to production.

            We will get back to you on the exact date of completion of this activity.

            As discussed on the call, when WT-7906 is resolved, please move Onboard code (only) to production. No tour or form migration necessary. Client has signed off.

            Hello Mandar Kulkarni,

            I have been given access in Production for Long Onboard however when I try and add the tile, the pop up says there are no tiles to configure. Can you please make sure the permissions for the module work? Since the forms from Onboard were moved with BenAdmin to production, I cannot delete the old test forms since they appear to be tied to a tour somewhere in the coding. I just wanted to bring this to your attention in case it is something that needs to considered when you move the new Onboard coding to production.

            We have moved all fixes / change requests done for LONG to production.
            You were not able to see onboard related things as your user on production has Default partner policy.
            Now, we have changed it to "Workterra all module policy" and you will be able to see onboard related things now.

            In testing we found the following issues:

            1. Admin Permissions not added. Will need "BenAdmin + Onboard" added.
            2. Employee can no longer view forms after completing tours. As per other ticket, please provide new instructions on how to setup account so that employee can view completed forms.
            3. Option to select a previous signature does not show until page 6 of the first tour. Then starts adding extra signature as described in earlier ticket for signature error.
            4. Affirmative Action Self Identifier, Veterans Self-Identify, and Non-Work Activities Waiver not saving selections or signature.

            Video of testing to show examples has been uploaded as "Long Onboard Production Testing 02-13-2017.mp4" onto the FTP site. It can be found here: /users/workterraaca/Onboard

            If these issues cannot be resolved today, please let me know the estimated time of completion so that we may communicate it to the client.

              1.Mapping Onboard+Benadmin policy to LONG on production.
              2.Tried to Download video uploaded for onboard using site and filezilla also. Not able to download it .

            Thank you for adding the Onboard + BenAdmin user permission option.

            I was still unable to view any forms as the employee in either BenAdmin or Onboard. From the employee home screen (before selecting module), they are also not visible.

            Also, the issue with the forms not saving is still present. When I tested today, the forms seem to be saving the data entered but most forms are not saving signatures. I am concerned however that they were not saving certain entries yesterday and without any changes on your end, they appear to be saving some today. It doesn't seem to be reliable.

            I have added another video of today's testing to the FTP site. It is named, "Onboard Test - Long in Production.mp4". Here is the folder: /users/workterraaca/Onboard

            First of all - can you please ensure that you download the video file that Veronica has uploaded? It is about 800MB and is at https://ftpsecure.ebsbenefits.com/thinclient/Login.aspx in the folder specified by her. What was the problem that you could not download? Please take IT help.

            I watched when this video was created. All the tours went well - but each form always had multiple signatures to choose from. I am not sure why multiple signatures. Also, these signatures appear on the PDF print file, which looks odd. (Again not sure if this is the requirement.)

            When logged in as employee of LONG, the forms are not seen. Can you please check on LONG company on production.

            Also forms not saving signatures - can you please check on LONG instead of HSPL copy?

            After checking New video, we have following observations :
            1. Issue : When logged in as employee of LONG, the forms are not seen. Can you please check on LONG company on production.
            Harbinger comments : It seems the tours on production were configured before moving patch (WT-7906) on friday. So, We just saved the tours on production and now , forms are showing in menu for employee login. Please let us know if this is fixed.

            2. Issue : Also forms not saving signatures - can you please check on LONG instead of HSPL copy?
            Harbinger comments : We have checked the video . Employee referred in video is able to see all changes . Is there any other employee you are referring to ? Lets discuss this in tomorrow's call .

            Good morning Swapnil Pandhare,

            1. Issue : When logged in as employee of LONG, the forms are not seen. Can you please check on LONG company on production.
            Harbinger comments : It seems the tours on production were configured before moving patch ( WT-7906 PRODUCTION TESTING ) on friday. So, We just saved the tours on production and now , forms are showing in menu for employee login. Please let us know if this is fixed.
            The tours were not created before we received the notice from you. Why was the patch moved? We were of the understanding that both stage and production were fixed and that the patch would not be moved. We have multiple clients onboarding that will need this fully functional.
            2. Issue : Also forms not saving signatures - can you please check on LONG instead of HSPL copy?
            Harbinger comments : We have checked the video . Employee referred in video is able to see all changes . Is there any other employee you are referring to ? Lets discuss this in tomorrow's call . The employee in the video did not show all signatures on signed forms. Most did not save to the form.
            3. Issue : All the tours went well - but each form always had multiple signatures to choose from. I am not sure why multiple signatures.
            Harbinger comments : We have changed this . Please refer JIRA WT-7429 PENDING FOR STAGE APPROVAL for more details.

            As discussed on the call, it will be good if comprehensive QA is done today to ensure the following happens. Rajendra Joshi

            1. A new employee can complete all the tours and can sign and fill all the forms.
            2. After the onboarding tours are completed, employee can see ALL the forms. Note that Veronica Blanco has reported that W-4 form is not visible to anyone.
            3. Every form has all the data and also the signature.
            4. Each form shows only one signature to choose from.
            5. The print pdf of forms appears appropriate. (It should not show the password box with asterisks - but only the signature.)
            6. If form is tried to be saved without password, it should give clear error.
            7. The signature option doesn't show as broken image.

            In addition to this, please verify and report the following.

            1. Pre-existing employees in the system (users of BenAdmin) - once Onboarding is available, can they complete onboarding tours? We reported that because of their hire date being in the past, they are not allowed. Is that right?
            2. In that case, will the pre-existing employees will ever be able to do cross-boarding and off-boarding?

            1. A new employee can complete all the tours and can sign and fill all the forms.
            Answer : A New employee gets OnBoard Tour 1 , OnBoard Tour 2 and Benadmin Selfserve mode. Employee can complete both tours, can make Signature, fill and complete all the forms.. I have opened JIRA WT-8495 for observed server error on first page of tour.
            2. After the onboarding tours are completed, employee can see ALL the forms. Note that Veronica Blanco has reported that W-4 form is not visible to anyone.
            Answer : Employee is able to see all the forms. W4 form is visible in onboard module.
            3. Every form has all the data and also the signature.
            Answer : Data entered by employees during tours is not visible to employee under Additional Forms. Data and Signatures are not saved in certain forms such as Affirmative Action Self identifier - Voluntary, Employee Manual Receipt Swapnil Pandhare
            4 Each form shows only one signature to choose from.
            Answer : This bug is fixed and deployed on Production under JIRA WT-7429
            5. The print pdf of forms appears appropriate. (It should not show the password box with asterisks - but only the signature.)
            Answer: This change is reported in JIRA WT-8490 and with developer.
            6. If form is tried to be saved without password, it should give clear error.
            Answer: On Last Page of Preboard Tour, ie 'LONG Onboarding Tour 1 - Savings Plan', on Finish button, if Password is not entered, no error message displayed. Here, it is expected that, message 'Password cannot be blank' should be displayed. This is the issue with last page only. It is also observed with LONG Onboarding Tour 2 - Employee Manual Receipt on Finish button. JIRA WT-8496 opened for this issue.
            7. The signature option doesn't show as broken image.
            Answer: This issue is re-produced on all the pages of 'LONG Onboarding Tour 2. For first signature, image is missing. JIRA WT-8496 opened for this issue.

            Answer: Yes
            9. In that case, will the pre-existing employees will ever be able to do cross-boarding and off-boarding?
            Answer: If pre-existing employee is eligible for cross-boarding or off-boarding tour, they will get those tours as they triggers. This will be irrespective of whether they have got any Pre-board or onboard tours before.

            Hello Rajendra Joshi,

            I submitted a test application and here is what I found:

            • When completing forms, there is now only one signature option to choose from. (Complete)
            • When viewing completed forms, there are two signature options on all pages.
            • Most forms saved data and signatures. Long Paper Paycheck Request did not save any information or the signature. Every day we have tested, the amount of forms affected by this has changed. (Priority)
            • I was able to view the W4. (Complete)

            We deleted the test employee since they are in production and files are going out to carriers.

            We have verified the above mention issue in #3 about Long Paper Paycheck Stub Request page in Long onboarding Tour-1. The information is getting save and visible in employee login as well as while managing the employee.

            Now, there is a issue with other form 'Affirmative Action Self identifier - Voluntary' that he data is not saved. This is issue is assigned to Development team.

            It is a concern that each time we test, the amount of forms affected change. Not sure if you have that noted on your end from prior testing note entries. Can you provide us with a date this will be completed? This issue has been present for a week and we again have pushed the go live date for this client. They have 3 new employees to OnBoard and would like to use this module to bring them on.

            While testing Onboard in another account, we also found the forms there were having the same issue with not saving data or signatures. Can you and/or the team please fix the code for the module and not just for Long's forms? We need to make sure the system itself functions properly so we don't experience the same issues.

            We have verified Issue of not saving data or signatures on Long and other account and observed that it is working fine at our end.
            Whatever forms which we are filling in Onboard Tour those forms data is saving and visible to Employee/Partner properly.
            Also signature which employee manually drawn while traversing Onboard flow are visible properly.

            We have created videos while our testing for Form Data and Signature not saving issues. Videos have been updated in below EBS FTP path. you can check those out .

            Adding to this we have also verified reported employee and confirmed that data in W4 form is saved and showing properly.

            The issue reported was not only the w4 saving information. Several forms did not store the signature (details provided in an earlier message). As mentioned in WT-8649, the issue does not exist for every employee, only a select few. We have no understanding of why this is happening and is why we are turning to you for assistance. We cannot close this ticket until we find what is causing the issue and correct it.

            The point to be noted is - we see that many forms DO NOT store signatures EVEN WHEN the tours are 100% complete.
            I request Rajendra Joshi to please check ALL the forms for William Suttle and see that some of the forms DO NOT have signatures.

            In other words the system integrity demands that WHEN tours are 100% complete ALL FORMS must have signature box populated. However we do not see this happening in some cases. You can confirm this by examining state of the system for customer LONG on production.

            This is a compliance issue. The customer (who is live) has NOT yet seen this problem.
            Of course - let me know if we are missing anything.

            We have observed that the issue is still occurring. Form information is still not saving in Long's Production site. The issue is also present in stage in other client accounts. We checked in another account for Matt Construction and their forms seem to be ok. That account only uses text boxes. Is it possible that the issue may be connected to the radio buttons and signature fields? Earlier in the year there was an issue with information saving after using the check boxes. Maybe they are connected issues?

            Can you please tell us if the information the employees have entered are stored in the back end somewhere? If possible, can you provide us with a report that shows the information? We will need to provide it to the client since their information is not viewable.

The issue discussed in this ticket affects the performance of the module as a whole and has been on ongoing issue.             We have resolved above mentioned issue on Production. Now, data entered by employees during tours is getting saved and does reflect correctly in partner login while managing the employee in additional forms.

            The client is adding new employees today. I will ask that he provide us with feedback. I will not be able to test until he has added the new employees due to the auto-generated employee ID. We will do additional testing once his new hires have been added.

            Can you please tell me if the missing information from the employees forms are recoverable on the back end or stored somewhere? This is very important. If not, we will need to communicate to the client that each employee that was affected will need to complete their new hire paperwork again. We would like to avoid this if at all possible.

            The client is adding their new employee tomorrow so I was able to do a little testing today. 1 of the 3 test employees added was still affected with this issue/bug. Please review test employee "testone delete". You'll find that the Affirmative Action Self Identifier form and the Savings Plan form do not contain any information. Two additional test employees that were added had their form information save successfully.

            As mentioned, the client is adding a new employee tomorrow who will need to complete his/her new hire paperwork using onboard so if we can get this fixed today that is ideal.

            We created similar employees as 'testone delete' on Long and Long for HSPL companies to reproduced above mentioned issue. But here, in employee tour, we could save all forms in both tours, including Affirmative Action Self Identifier form and the Savings Plan form. We could also open saved forms in Partner login. Above issue is not reproduced on any company.

            Please let us know if this is happening in any specific scenario.

            Hi Rajendra Joshi,

            To be clear, the issue is not saving the form (using the save button) or accessing the form itself in the menu. It is that when accessing the form, the information the employee entered is missing and/or the signature is missing.

            When testing this issue, it may not occur with several employees then it occurs in one or two. It seems very unstable. This is not a small issue. In addition to those originally reported in this ticket (and possibly another), there are quite a few. I have attached a spreadsheet (Long- New Hire Report 05-04-2017) to show the severity of this issue. The employees in the attachment have either fields or radio buttons missing information or the signature. This spreadsheet is a few weeks old so there are more affected employees at this point. All of the employees are onboarded the same way. The employer adds them in "Add Employee" then the employee is taken to a computer in which the Client HR sits with the employee and watches the information get entered. When I added test information, I did not take any additional steps. It happened on my first test employee.

            We would like to do additional testing before confirming that the issue no longer exists due to occurrences after the reported fix along with this issue occurring sporadically. You and your team were also going to look into the times of the occurrences and other factors. I provided the spreadsheet showing data with time stamps and effective dates to this ticket per your request during our meeting last night.

            In addition to the signature control issue where the signature changed and that employees can no longer use the previous signature due to an error saying the signature cannot be blank, we also found on the call the issue of WT adding or changing information on an employee form as found for employee "testone delete".

            Due to the additional testing and research needed for this issue, my preference is that we do not mark this ticket as done or resolved yet.

            We have fixed issue of Direct Deposit form not saving in JIRA - WT-9529
            Also we have fixed issue of Form not saving in case of user Press enter button in WT-9478 .

            Can you please confirm if the fix was applied to all forms and will resolve the issue within the module for all clients and or just LONG? The form issue affected other forms as well and other client accounts.

            Has the fix been applied to both stage and production?

            Hello,
            Client advised that the following rehired employee's forms did not save. I also checked the employee record and confirmed the data on the forms did not save.

            Company: LONG
            EE Name: Paige Langley
            Rehired on 5/17/2017 with a status change date of 5/17/2017
            Concern: Reviewed all onboarding forms and found that non of the data entries were captured and neither were the signatures.

            I know nightly scans are happening and I am not sure if this is a timing issue or if the query needs to look at "Rehired Status" in addition to Active New Hire Status

            Can there please be a scan to confirm if there are any other rehires in the system where the form info did not save. We are getting ready to begin reaching out the employees and we want to make sure we do not miss anyone.

            2) EE Name: Tristin Gash

            Tour status - LONG Onboarding Tour 1 (Tour Id 6) and LONG Onboarding Tour 2 (Tour Id 7) are completed. LONG Rehire Tour 2 (Tour Id 11) is not yet started.

            Reason why forms are not saved - Employee did not get any enrollment mode as Employee was not eligible for any of the new hire/ rehire rule.

            3) EE Name: Paige Langley

            Tour status - LONG Rehire Tour 2 (Tour Id 11) is completed.

            Reason why forms are not saved - Employee did not get any enrollment mode as Employee was not eligible for any of the new hire/ rehire rule.

            We are in discussion with Nagini and Diana to avoid such rehire scenarios.
